About the Program

First 30×30 Canada is an N4J initiative delivered in collaboration with IISAAK OLAM Foundation and Nature Focus Development. The program supports Indigenous governments in Canada to develop Indigenous-led nature-based solutions and forest carbon projects that generate long-term revenue for climate, biodiversity, and community benefits.

      Over the next five years, the program aims to:

  • Complete 25 project pre-feasibility studies
  • Complete 10 full feasibility studies with Indigenous governments in Canada
  • Match 5 proposed projects with aligned investors
  • Launch 3 new Indigenous-led nature-based solutions projects

Nature For Justice (N4J) is seeking an organized, detail-oriented, and reliable Program Administrative Associate to support the First 30×30 Canada Program. The role will provide administrative, operational, contract, financial tracking, and executive support to senior program staff.

This position is well suited to an early-career professional interested in Indigenous-led conservation, climate justice, and nonprofit program operations.

Responsibilities of the Role

Program Operations, Contracts and Financial Tracking (20-25 hours/week)

  • Coordinate standard-form contracts, including NDAs, consulting agreements, amendments, and related documentation, using approved templates and processes.
  • Manage contract workflows, including document coordination, internal review tracking, DocuSign routing, filing, and follow-up.
  • Maintain contract, consultant, and project trackers, including agreement status, budgets, amendments, deliverables, reporting deadlines, and renewal dates.
  • Assist with invoice review, budget monitoring, expenditure tracking, and reconciliation against approved contracts and budgets.
  • Flag budget variances, missing documentation, delayed invoices, contract issues, or other matters requiring senior staff review.
  • Support grant administration, including funder deadline tracking, grant databases, supporting materials, and proposal and report preparation.
  • Maintain accurate and secure program records, including contracts, invoices, project documents, funder materials, consultant files, and due diligence records.
  • Conduct basic due diligence and desk research on collaborators, funders, contractors, consultants, and prospective hires using agreed criteria and templates.
  • Prepare, format, and coordinate presentations, briefing materials, spreadsheets, reports, and other program documents.

Executive and Senior Staff Support (10-15 hours/week)

  • Provide calendar coordination, scheduling, meeting preparation, task tracking, and follow-up for senior program staff.
  • Coordinate recurring program meetings, including agendas, materials, notes, and action item tracking.
  • Support travel planning and logistics, including bookings, itineraries, expense tracking, and reimbursements.
  • Assist with invoice and expense processing for senior staff and program-related activities.
  • Maintain task trackers, deadline lists, and follow-up systems to help senior staff manage priorities.
  • Provide general administrative and operational support to ensure the smooth functioning of the program.

Working Arrangements and Travel

  • Location: Remote within the United States or Canada. Preference for candidates able to work core hours aligned with Pacific Standard Time.
  • Time Commitment: Full time, approximately 30–40 hours/week.
  • Travel: Approximately 1-2 trips per year in the US or Canada, typically for 1-2 days at a time.

Employment and Compensation

US-based candidates will be employed by N4J as full-time employees and may be eligible for employer-provided health insurance and 401(k) benefits, subject to applicable policies and eligibility requirements.

Canada-based candidates will be engaged as independent contractors, paid monthly upon submission of an invoice. Contractors are responsible for their own taxes, benefits, insurance, pension or retirement contributions, and other statutory or professional obligations.

Compensation will be paid in USD and determined based on experience, agreed time commitment, and relevant skills.

  • Employee salary: USD $35,000-$50,000 per year
  • Independent contractor rate: USD $25-$35 per hour

Required Qualifications, Skills & Experience

  • Bachelor’s degree in forestry, natural resource management, environmental science, or a related field.
  • At least 2 years of relevant experience, including internships, in program coordination, operations, grants, contracts, or technical administration relevant to the First 30×30 Program.
  • Strong organizational skills and ability to manage multiple deadlines, documents, trackers, and follow-up processes.
  • Strong attention to detail when working with contracts, invoices, budgets, deadlines, and records.
  • Experience with spreadsheets and presentation tools, such as Excel, Google Sheets, PowerPoint, or Google Slides.
  • Familiarity with Google Workspace, including Drive, Calendar, Gmail, Meet, Docs, and Sheets.
  • Excellent written and verbal communication skills, with a professional and responsive communication style.
  • Ability to work independently in a remote environment while keeping senior staff informed and escalating issues appropriately.
  • Ability to learn new systems, templates, workflows, and program processes quickly.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Sound judgment and willingness to ask questions when clarification, review, or approval is needed.

Preferred Candidates

  • Experience supporting contracts, procurement, consulting agreements, grants, budgets, invoices, or financial tracking.
  • Experience providing executive or senior staff support.
  • Experience working with Indigenous governments, Indigenous organizations, Indigenous-led conservation initiatives, or lived experience in Indigenous cultures in Canada or the United States.
  • Familiarity with conservation, Indigenous rights, human rights, environmental science, natural resource management, climate finance, or nature-based solutions.
  • Experience with nonprofit, philanthropic, grant-funded, or mission-driven organizations.
  • French language proficiency or bilingual English/French communication skills.
  • Experience with conducting due diligence, research, compliance tracking, document management, finance, accounting, bookkeeping, legal support, paralegal support, or contracts administration.
